Built in Sault Ste. Marie

Close pothole reports from the truck, not the office.

A 12-month SpotFix pilot for Sault Ste. Marie Public Works. $3,000 CAD/month. Month-to-month, cancel anytime. Save money and time.

Spot it. Report it. Route it. Fix it.

As seen on

Very positive feedback and a lot of attention across Northern Ontario. Early adoption sends a clear signal that Sault Ste. Marie is a forward-looking city.

The problem

Public Works loses hours every week to intake friction

None of these are exotic problems. They're the reason your admin is tired at 4pm and your foremen still find the same pothole three weeks later.

Phone calls that get re-typed

Every 311 call turns into a hand-written note and a spreadsheet row. Admin time you can't get back.

“I'll log it when I get back”

Which means never. Fixed work isn't recorded, and residents assume it wasn't done.

Vague citizen emails

“Big hole on Wellington near the church.” No photo, no coordinates, no way to route to the right crew.

The same street, again and again

No way to see which blocks keep re-reporting the same issue — so patching wins and capital planning loses.

Not just potholes

One app for every kind of issue

Residents report anything they see — potholes, streetlights, graffiti, blocked drains, and more. Everything flows into a single, organized inbox for Public Works.

Streetlights

Out or knocked-down lights reported with a photo and exact location.

Graffiti

Tags on public property documented for cleanup before they multiply.

Illegal dumping

Photos and GPS evidence — no more vague locations.

Damaged signs

Bent, missing, or unreadable signs reported with visibility context.

Blocked drains

Storm-drain backups flagged before they flood intersections.

Snow & ice

Unplowed roads and icy paths routed to the closest crew in real time.

Park equipment

Broken benches, playground issues, and trail hazards logged for repair.

Public hazards

Open sinks, exposed rebar, or anything unsafe gets urgent flagging.

What SpotFix does

A tool for your crews — not another dashboard for council

Built for Public Works first. Council gets the transparency page as a side benefit.

Public reporting map

Residents snap a photo, drop a pin, choose a category. Structured, geo-tagged, deduplicated — before it ever hits your admin.

Fewer dispatch calls, better data per report.

Crew Companion

Auto-prompts the driver when they stop within 25 m of an open report. Mark fixed, add a photo, done — from the cab.

Tickets closed same-day, not same-week.

Route Optimizer

Groups nearby open reports into a sane day's work for each crew, in order.

Less fuel, less windshield time, more fixes per shift.

Hotspot Insights

Heat map of streets and intersections generating repeat reports — the evidence you need for capital budget asks.

Patch less. Rebuild the block that actually needs it.

Public transparency page

Live map of what's open, in progress, and fixed. Council can share it. Residents can bookmark it.

Deflects “why hasn't the city fixed X?” to a public status.

Credit where it's due

Every fix logged with the crew, time, and location. When a resolution photo is added, residents see the proof on the public map. Foremen finally get the credit.

Better morale, better re-election optics.

Why us, why now

Built here. Every dollar stays here.

SpotFix was built in Sault Ste. Marie for Northern Ontario municipalities. This isn't outsourced profit shipping south — it's local development, local support, and local impact.

100% local spend

Every dollar of your subscription supports Sault Ste. Marie businesses and local development. No out-of-town vendor, no offshore support desk — your money stays in the community.

Cheaper than the alternative

Comparable US platforms quote $50,000–$120,000 CAD/year for the same feature set. You get the same capability at a fraction of the price — and the savings stay in SSM too.

Adoption = more revenue for SSM

As our reference city, SSM shapes the roadmap first. When neighbouring municipalities adopt SpotFix after seeing SSM's success, that new revenue flows directly back into Sault Ste. Marie's economy.

Where your money goes

Every $3,000 is reinvested right here

No offshore contractors. No Bay Street middlemen. Your subscription directly funds the local teams and infrastructure that make SpotFix work — and grow.

Local software development

Engineers and designers based in Sault Ste. Marie build every feature, fix every bug, and ship every update. Your subscription keeps skilled tech jobs in the city.

Secure cloud hosting

Your data is hosted on Supabase with enterprise-grade encryption, automated backups, and row-level security. Reliable infrastructure that scales with the city.

AI compute & optimization

The smart routing, duplicate detection, and report categorization that saves your crews hours every week runs on AI compute. That processing power is billed locally and improves with every release.

Analytics & insights

Hotspot mapping, trend detection, and capital-budget evidence all require ongoing data processing. Your funding powers the analytics that turn raw reports into actionable intelligence.

Marketing & adoption

When neighbouring municipalities see SSM's public transparency page and ask how you did it, that outreach is funded by your subscription. Every new city that signs on brings more revenue back into SSM.

Local operations & support

Email support, onboarding, documentation, and account management are all handled from Sault Ste. Marie. Your subscription keeps local operators employed and responsive.

Adopting SpotFix now doesn't just fix potholes — it seeds a local tech economy. Sault Ste. Marie becomes the reference city, the training ground, and the proof point. When other Northern Ontario municipalities follow, the revenue flows home.

More than potholes

This isn't just infrastructure — it's civic pride

When residents see their city fixing things in real time, something shifts. They stop complaining. They start caring. They become your allies.

Give people a reason to be proud

Every fixed issue on the public map is proof SSM works. Residents see the work, share the wins, and feel ownership over their neighbourhoods. Pride turns taxpayers into boosters.

Community Heroes do your outreach

SpotFix surfaces residents who report consistently and responsibly. These volunteer ambassadors help neighbours report better, reduce duplicates, and build goodwill before complaints ever reach council.

Show off your hard work

Every crew photo, every closed ticket, every 'Fixed!' pin is public proof of a job well done. No spin needed. When residents can see the patch and the crew who did it, trust replaces cynicism.

Citizens who act stay engaged

A resident who reports one pothole and sees it fixed in 48 hours is a resident who reports the next one, votes in the next election, and tells friends the city listens. Complaints become participation.

"The easiest way to win re-election is to let residents see the work you're already doing. SpotFix makes that visible — every day, on every street."

Napkin math

Two ways SpotFix pays for itself

Illustrative, not a guarantee — real numbers depend on adoption and current baseline.

Admin time reclaimed

~40 hrs / month

If SpotFix deflects just 2 dispatch calls per day at ~5 minutes of triage each, that's ~40 hours of admin time reclaimed every month.

Extra fixes per crew

~20 / month

If crews close one extra ticket per day by not deferring the paperwork, that's ~20 more fixes per crew, per month — visible on the public map.

FAQ

Questions we hear from Ops directors

Do we need IT to install anything?

No. SpotFix is a web app — crews open it on any phone or tablet, no app store, no MDM, no VPN. Nothing to deploy on city infrastructure.

How much training do crews need?

About 10 minutes. Open the Crew view, hit Start Shift, and drive. The app auto-prompts when you stop within 25 metres of an open report.

Where does the data live?

Hosted on Supabase with enterprise-grade encryption and backups. Sault Ste. Marie owns its data and can export the entire report history to CSV at any time.

What if we want out?

Cancel any month. Full CSV export of every report, photo reference, and status change on the way out. No lock-in.

Can it feed our existing work-order system?

CSV export today (importable into Cityworks, Maximo, or any spreadsheet workflow). Direct sync is on the roadmap — if it's a blocker, tell us which system and we'll prioritize it during the pilot.

Is this under our single-signature procurement threshold?

$3,000/month ($36,000/year). Most Ontario municipalities can approve this under a delegated authority or single-signature threshold. Your finance team should confirm against SSM's current purchasing bylaw.
